At CLEP, your privacy and the security of your personal information matter to us. This privacy notice explains what we do with your personal data, how we keep it safe, and when we may need to share it with others. It is here to help you stay informed and in control.

We are an intersectional VCSE owned and led partnership of lived experience organisations in Cornwall and the Isles of Scilly, working together on voice and representation projects that support marginalised communities across the county.

When and How We Collect Information

We collect your information when you engage with us directly or when you are referred by a partner or another organisation. This might include when you:

  • Access services or support
  • Sign up for newsletter, events or training
  • Sign up for volunteering with us or one of our partner organisations
  • Provide feedback on our services
  • Donate to support our work

What Information We Collect

Depending on the services you are accessing, we may collect:

  • Personal Details: like your name, address, and contact information
  • Special Categories of Data: sensitive information like health conditions, racial or ethnic origin, and sexual orientation, only if it’s relevant and with your consent
  • Financial Information: if you donate to us or require funding-related support

How We Use Your Information

We use your data to:

  • Provide services or training tailored to your needs
  • Keep you updated on our work and changes to services
  • Improve our services or trainings and understand how well they are working
  • Conduct anonymised analysis to help us plan better services and projects
  • Fulfil any legal obligations we have as a partnership of organisation

We might occasionally conduct anonymous data analysis to improve our services and report outcomes to funders, but this information will not identify you personally.

Automated Decision-Making and Profiling

We do not use your personal data for automated decision-making or profiling.

Data Retention

We keep your information for as long as we are legally required or for as long as it is necessary to support our work with you. When it is no longer needed, we will securely delete or anonymise it.

How We Protect Your Information

Your data security is a top priority. Our partners organisations have strict policies and protocols in place to prevent unauthorised access, including encrypted electronic data storage and secure storage of paper records.

If we ever experience a data breach, we will notify the Information Commissioner’s Office (ICO) and, if necessary, inform you directly.

Sharing Your Information

We will never sell your personal data. We may share it with other organisations only when:

  • We have been given your explicit permission
  • We are legally required to (for example, safeguarding issues)
  • We are working with trusted partners (for example, for joint events) and have your consent to do so

International Transfers

We do not transfer your personal data outside the UK. If this changes, we will ensure that appropriate safeguards are in place to protect your information.

Marketing

CLEP does not currently send any marketing or promotional materials. In the future, we may offer an optional newsletter or updates for people who choose to receive them. If you opt in, we may send you news about our work, changes in services, or ways to get involved. You can opt out at any time by contacting us.
